2010 Jazz Education Network Conference Exhibitor Information

The Jazz Education Network (JEN) invites you to be an exhibitor at its first annual conference, to be held on the campus of the University of Missouri - St. Louis, May 20-22, 2010.

We know that our conference attendees consider exhibits to be one of the most important parts of the event. Exhibits for the 2010 JEN Conference will be located in the Millennium Student Center on the university campus. The JEN conference will be a great opportunity to showcase your products and build positive and lasting relationships with some of the nation's leading jazz educators and performers.



  • A “focus group" environment in which to display product for customer response.
  • Terrific sessions and activities allowing exhibitors to interact with attendees and discuss issues of importance to the jazz community.
  • Sponsorship opportunities are available.


Now is the time to reserve your booth for the 2010 JEN conference. Space is limited, and is being offered on a first-come, first served basis. Membership in JEN is required in order to exhibit. See the individual types of exhibit spaces for specific membership category required to exhibit.

Information on becoming a JEN conference exhibitor and/or sponsor is below. Please complete your exhibit contract application online by March 15, 2010 to be included in the conference program. Remember, space is limited and is sure to go quickly!

EXHIBITOR INFORMATION

Exhibit Space: There are three types of exhibit spaces available as follows:

  • Tabletop display areas are restricted to Individuals, as well as Network Affiliate Groups and Institution Partners. To reserve your tabletop display area, submit a completed reservation form online. Once your account is paid in full, a link to submit credential information will be sent to the email address provided on the reservation application. Click on the link in order to complete this form online. Tabletop displays are assigned on a first-come first-served basis.

  • Booths in the Exhibit Hall is restricted to Corporate/Industry Partners, Institution Partners and Network Affiliate Groups. Click here to download the floorplan of the exhibit hall booths. Exhibit space purchase is a four step process as follows: (1) download the floorplan to make booth selection; (2) submit a completed reservation form online; (3) membership status is verified as appropriate to exhibit at the level requested; and (4) account is paid in full. Once the process is completed, a link to submit the booth request and credential information will be sent to the email address provided on the reservation application. Click on the link in order to complete this form online, clearly indicating three top choices for booth assignment. Booths are assigned on a first-come first-served basis.

  • Private Conference Rooms are restricted to Corporate/Industry Partners. Click here to download the floorplan of the exhibit hall booths. Exhibit space purchase is a four step process as follows: (1) download the floorplan to make a room selection; (2) submit a completed reservation form online; (3) membership status is verified as appropriate to exhibit at the level requested; and (4) account is paid in full. In General: Free Wifi access in exhibit areas. Exhibit areas in the Student Center are carpeted. Electricity is included in private exhibit rooms and the Century Hall, but not available in the table top exhibit areas. Daily custodial services are provided. Free parking is provided. Private exhibit rooms and the Century Hall will be locked after hours but otherwise, no additional security will be provided.

Set up Hours: Thursday, May 20th, 8 AM to 6 PM

Exhibit hours: Friday, May 21st, 9 AM to 5 PM


Saturday, May 22nd, 9 AM to 4 PM



Tear down: Saturday, May 22nd, 4 to 7 PM

Shipping: Exhibitors must 1) provide their own staff to load in and out on the designated days and times, or 2) make arrangements with a local music dealer or delivery service for delivery and pickup, or 3) send their display materials to Paramount Convention Services for handling at their expense. Exhibitors will receive a kit from Paramount Convention Services once they have reserved space. Exhibitors may not ship displays directly to the university; shipments sent to the university campus will be refused. There is a loading dock at the rear of the Millennium Student Center, and a hydraulic lift from truck to dock. The freight elevator will accommodate pallets, but pallets cannot be brought up by fork lift or front loader. There is a pallet dolly available for use in the Millennium Student Center.

2010 JEN EXHIBIT GUIDELINES/REGULATIONS

Application and Assignment of Space - Applications will be made in writing and submitted online. The online application may be processed via credit card or by sending payment by check after completing your purchase. The mailing address for payment by check will be provided by an automated response, immediately after your purchase of exhibit space. A badge/credentials order form will be sent to you shortly after your space reservation has been processed. If you are exhibiting in the Exhibit Hall, a floor plan will be sent to you after your space reservation has been processed, for you to indicate your preferred location for booth placement. Booth/space assignments are made on a first-come, first-served basis. No refunds.

Contract for Space - The application for space and the formal notice of assignment by JEN constitutes a contract for the right to use the space allotted. In the event of fire, strike or other uncontrollable circumstances rendering the building unfit or unavailable to use, the contract shall not be binding.

Construction of Exhibits - All exhibits must be arranged so as not to obstruct the view or interfere with other exhibits.

Restrictions in Use of Space - No exhibitor shall reassign, sublet or share his or her allotted space without the knowledge and consent of the JEN exhibits manager.



Circulation and Solicitation - Circulars or advertising matter of any description may be distributed only within the booth assigned to the exhibitor presenting such material. No exhibitor shall obtain exhibit space anywhere outside the designated exhibit area, and no firm or organization not assigned exhibit space will be permitted to solicit business within the exhibit area.

Noise-Making Exhibits - Exhibits that include the operation of musical instruments or audio equipment should be conducted or arranged so that the noise resulting from demonstrations will not unnecessarily disturb adjacent exhibitors and their patrons.

Insurance & Security - The exhibiting firm acknowledges that JEN or the University of Missouri-St. Louis has no responsibility for the exhibitor's property, and the exhibitor takes full responsibility for all risks to the property that the exhibitor brings to the exhibition. The Exhibition hall and adjacent rooms will be locked after hours, but no on-site security will be on duty.

Restrictions in Operation of Exhibits - JEN reserves the right to deny an exhibit application, or restrict exhibits that, because of noise, method of operation, or any reason, become objectionable, and may also prohibit or evict any exhibit which, in the opinion of the management, detracts from the general character of the exhibit as a whole. The reservation includes persons, things, conduct, printed matter, or anything of a character that the management determines is objectionable to the exhibit. In the event of such restrictions, JEN nor the University of Missouri-St. Louis are not liable for any exhibit expense.
